Summary: 

Coordinate various aspects of Audio Visual projects. Function as a logistical and/or administrative resource to Project Managers during engineering, fabrication, installation and programming phases of projects. This position may also be responsible for managing small projects including budget, scope and schedule requirements both externally, with the client, and internally, with ESI Project teams.

 

Responsibilities:

1.       Prepare and update various documents and forms for Project Managers including, but not limited to, purchase order requests, shipping requests, Bills of Materials, etc.

2.       Provide regular reports to Project Managers.

3.       Assist Project Managers in the day-to-day management of team activities.

4.       Assist Project Managers with updating and tracking schedules and scopes of work. Recognize when changes are being requested by staff or clients.

5.       Attend project meetings and ensure that minutes are prepared and distributed.

6.       Ensure that all relevant project communication and documents are distributed to appropriate team members, departments, vendors, and/or clients.

7.       Work closely with PMs and Engineers to assist in the timely release of Project deliverables.

8.       Create and follow through with task lists, action item lists, and punch lists.

9.       Coordinate travel and accommodations for Project teams.

10.    Take full responsibility to manage the commercial and contractual obligations of small projects (typically projects not greater than $100k in value). Ensure those projects are completed in a timely, efficient manner to our clients’ satisfaction and in compliance with all contract specifications.

11.    May be called upon to act as Site Supervisor or as the Company’s on-site Representative.

12.    Coordinate the compilation, checking, copying, and distribution of final documentation packages (e.g. operations and maintenance manuals, as-built schematics, etc.).

13.    Travel and out of town stays are required in this position, occasionally for significant durations.

14.    Perform other activities and assume further responsibilities as directed by the immediate Manager.

 

Skills:

1.       Excellent verbal and written communication skills.

2.       Detail oriented with strong organizational skills.

3.       Ability to interface well with clients and co-workers.

4.       Capability to manage several activities simultaneously.

5.       Proficient with computers and standard office programs (e.g. Windows, Excel, Word).

6.       Experience with AutoCAD, Primavera, MS Project is an advantage.

 

Requirements:

1.       AA degree minimum, BA degree preferred, with emphasis in business, engineering, architecture, design, or liberal arts.

2.       Minimum three years of experience in a related industry or trade.

3.       Hands-on installation or prior project coordination experience.

4.       ICIA CTS certification preferred.

5.       Knowledge of current products and trends in audio, video, show control, etc. or experience with Project Management and/or planning and scheduling methods and software.
